Let for Glamping The Wight Way Safari Lodges

The contract for a short term holiday rental will be between Harry Ferguson Farms Ltd T/A Glamping the Wight Way. (referred to as "us" or "we") and the person making the booking and all members of the holiday party (referred to as "you", "your" or "guests"), under the following booking conditions. UK law will govern the contract. The contract will be subject to these booking conditions and must be complied with. The person whose name is on the booking form (referred to as the "responsible person") agrees to take full responsibility for ensuring that all of the following Terms and Conditions are adhered to by all members of the party. The responsible person must personally stay at the accommodation throughout the holiday and be at least 18 years of age at the time of booking. The names, addresses, emails and phone numbers of all members of the group must be shared with the Owners on request.

Bookings & Payments

To secure your booking a non-refundable deposit of 50% of the cost of your stay is required at which point a confirmation email will be sent. We do not take provisional bookings. Balance payments are due 6 weeks before your arrival date. If the booking is less than 6 weeks from the date of your stay the full price of the stay is required at the time of booking.

We reserve the right to cancel a booking where payment has not been received 6 weeks before the arrival date, in which case the initial booking deposit is forfeited. No entry to the lodges will be allowed without full payment prior to arrival date.

If the balance is not paid by the due date Glamping The Wight Way reserves the right to re-let the lodge and retain the deposit.

The prices featured on the website are not binding; we reserve the right to modify these prices. At the time of booking you will be informed of the prices applicable. We only accept bookings from persons over 18 years of age and reserve the right, at all times, without statement of reasons, to refuse or cancel a booking. For insurance and comfort reasons, a maximum of 8 guests can occupy the lodge.

Group Bookings

We are a family glamping site and guests are required to keep noise to a minimum after 10.30pm and to be respectful of other guests at all times.

We do not accept hen or stag party type groups, however we will consider single sex & group bookings on an individual basis - please email us with the request. If you wish to book 2 lodges or all 4 lodges please call or email us. We will be happy to discuss your requirements. We reserve the right to take a

£500 returnable security deposit per tent booked in addition to the holiday cost at the point of taking the balance for such bookings. This will be processed within 48 working hours of your departure as long as no breakages or damage have occurred. Guests are liable for the full cost of any damage in excess of the security deposit.

 

It is the right of Glamping The Wight Way to refuse group bookings if we feel that this may be of detriment to other guests staying on the site.

Cancellation & Alteration Policies

Please advise us of cancellation as soon as possible by email.

If we are able to re-let your dates, we will refund you what you have paid. However, if the replacement booking is less in value, the refund will be adjusted accordingly. A £50 administration fee will also be deducted from the refund amount. If we are unable to re-let, you will forfeit the money paid so far ie. if you cancel at least 6 weeks before your holiday you will only forfeit your deposit. If you cancel within 6 weeks of your holiday you will forfeit the full amount. We recommend you take out your own holiday cancellation insurance, just as you would for a holiday abroad.

If you want to change any detail of your confirmed booking, we will do our best to make the changes although we cannot guarantee that we will be able to meet your request. You may have to pay a difference in costs.

Circumstances Beyond The Control Of The Owner (Force Majeure)

If for any reason WE have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, destruction/damage to the property (force majeure), you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons whilst in residence, you will be refunded part of the booking fee based on the time remaining of the booking. This will be the full extent of the liability of the owners. No additional compensation, expenses or costs will be payable. We recommend that you have appropriate holiday insurance cover  just as you would for a holiday abroad.

Arrival and Departure

We have a drop off layby by the entrance for you to drop your bags off. You are only permitted to stay there for 10 minutes. The car park is 300 meters away. There are trollies for you to use to take your luggage to your lodge.

We operate a self-check in and before your holiday we will send you a link to Glamping The Wight Way App to download. This will provide all the information that you need about your canvas lodge and how everything within it operates. We recommend that all adults within your group download our app and take a look before arriving. Instructional videos on the use of our unusual equipment are included which will make your stay much easier and more comfortable. In particular, the use of the solar batteries and the log burning stoves – as these are your power and heating.

Arrival Time – Guests can arrive from 4.00pm. It is very important to plan your journey so that you arrive during the daylight. Arriving and settling into your lodge is an adventure; from arriving at the entrance, navigating the track to the parking area, to unloading your luggage and wheel barrowing everything up the meadow, it’s all part of the experience and much easier during daylight as our site is very dark once the sun goes down. Following your final payment we will issue you with the gate code, and key safe code to your lodge.

Departure Time - Guests are requested to vacate their lodge by 9.30am on the date of their departure. Please consider the other glampers when leaving to avoid a bottle neck at the entrance gate. Our cleaning staff will access your lodge from 9.30am.

Before arrival, the tents will have been thoroughly cleaned. Guests are requested to leave the tents and outside area as far as possible in the condition that they would like to find it., i.e. all crockery, cutlery, kitchen utensils and furniture in its proper place. The owners reserve the right to make a charge for any tenant who leaves at tent or equipment excessively dirty.

Food Deliveries

We cannot take food or other deliveries due to our location, the long narrow lane and lack of turning space. We do not have street lighting.

Smoking, Fires, Naked Flames & Guests Own Cooking Equipment

Please do not leave the fire pit or BBQ unattended. The fire pit/BBQ should remain in the dedicated specifically designed area. No naked flames of any type are permitted on the decks or within 4 meters of the canvas lodges. It is not permitted to use any form of naked flame e.g. Chinese lanterns, candles, fireworks, flares etc. except the provided kadai fire bowl/BBQ and wood burners. We are located on a working farm with livestock, farm buildings and hay stores close by. Disposable BBQ’s, pizza ovens and gas cooking equipment are not permitted as such equipment is not covered by our insurance or safety/risk assessments.

Smoking is not permitted inside the tents, on the deck or steps. If you do have to smoke please do it away from the tents and smoking is ONLY permitted if cigarette butts are disposed of in the outside fire or in the sand bucket. All cigarette butts must be collected and disposed of before departure.

Number Of Persons Using The Lodges

For insurance & comfort reasons, no more than 8 persons can occupy the lodge. We reserve the right to refuse admission if this condition is not observed. Any persons other than members of your party must not use the facilities at Glamping The Wight Way. Visitors are not allowed.

Dogs & Pets

Unfortunately we are unable to accept any dogs or pets.

Drones, Kites or Similar

These cannot be operated in the meadows where the safari lodges are located as there are overhead electricity cables.

Liability

As far as the law allows, Glamping The Wight Way, its employees and representatives shall not be liable to you or your group for loss, damage, or injury to you or any of your party or you/their property or vehicles as a consequence of this agreement or the occupancy following thereon. You indemnify Glamping The Wight Way against loss, damage or injury sustained to the lodges and site, or any persons as a result of any breach of these conditions or arising from the fault of you or any member or your group.

Assumption of Risks

Children must be supervised at all times - the surrounding fields are strictly out of bounds. We are a working farm with farm machinery using the lane and accessing the surrounding fields at any time. You will be staying on a working farm with live animals within a potentially dangerous farm environment with machinery, equipment and natural hazards such as deep trenches & deep clay ponds. Whilst we take great care to keep you safe, accidents can happen and we are not held responsible for such accidents to the greatest extent by law. You must inform us if you notice that any Glamping The Wight Way property or equipment is faulty and/or unsafe We shall be allowed reasonable entry to the lodges for purposes of inspection, necessary repairs or maintenance. We would contact you to make arrangements unless it was deemed an emergency.

Damage

Should any facilities, equipment, or inventory, be damaged willfully, as a result of inappropriate usage or behavior, or a as a direct result of failing to respond to instructions from Company staff you will be held responsible for the cost of repair or replacement of that item. The company cannot accept responsibility from any loss, damage, or expense arising from industrial action, terrorist activity, adverse weather conditions or any other event outside the control of the company.

Validity clause

In the event that a court finds that a condition in these Booking Conditions is illegal or void, the illegal or void provision will be severed from the remainder of the Booking Conditions, which will continue to be valid and have full force and effect.

All personal data collected when a booking is placed will not be passed on or sold to any 3rd party. Please see our Privacy Policy on our website.

General

In the event that any individual term or clause stated in these terms and conditions of let is not permissible by law, the remainder of the agreement shall remain valid.

Guests are requested to respect the wildlife, neighbors, other holiday makers and the Country Code of Conduct.

Right Of Entry

We shall be allowed reasonable right of entry to the lodges at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance. We would contact you to make arrangements in such circumstances unless it was deemed an emergency.

Accuracy Of Details

The website is as accurate as possible but cannot be warranted, nor do the descriptions form any contract. Whilst every effort is made to ensure accuracy of property details, descriptions and images, the facilities and services may alter. We reserve the right to alter or improve any of the subjects without notice. The booking agreement confers the right to occupy the lodges for the agreed period only. We reserve the right to charge for overstays. You undertake to use the lodges solely for their purpose of self-catering accommodation and to accept the owner's right to refuse access to the accommodation to any person, whether the responsible person or guest of the responsible person, deemed unsuitable. Causing a nuisance or disturbance to neighbours or any unreasonable behaviour may result in the owner requiring the responsible person or their guests to leave the site.
